Admin Associate

Role & Responsibilities

1. Front Desk & Communication

  • Greet and assist visitors, clients, and vendors, ensuring a welcoming reception experience
  • Maintain visitor register and front desk records in line with compliance requirements

2. Administrative & Coordination Support

  • Maintain organised physical and digital records; perform data entry, documentation, and tracker updates
  • Coordinate with Finance, HR, IT, and other departments; follow up on approvals, pending tasks, and internal requests
  • Support directors' office coordination as required

3. Office Operations & Facility Management

  • Take care of accounts with respect to generating purchase orders, maintaining petty cash, coordinating with the finance team towards payable/receivable, etc.
  • Oversee housekeeping, pantry upkeep, and general office maintenance
  • Manage office supplies inventory and ensure timely replenishment
  • Handle key management, access control records, and coordinate repairs and maintenance
  • Track AMC and contract renewals; manage courier, post, and deliveries
  • Handle outdoor errands including bank and vendor visits

4. Vendor & Compliance Coordination

  • Coordinate and document vendor services including pest control, fire safety checks (quarterly), and water testing (bi-annual)
  • Ensure timely completion of all compliance-related activities and maintain up-to-date records and certificates
  • Maintain strong relationships with vendors and keep price data in order to get the best pricing on supplies and services
  • Prepare regular reports on expenses and office budgets

5. Employee Support & Welfare

  • Manage employee meals and refreshments; collect and follow up on feedback for closure
  • Coordinate festival decorations and office engagement activities

6. IT & Asset Management

  • Coordinate with the IT team for basic support; maintain records of laptops and office assets
  • Conduct quarterly laptop checks, gather user feedback, and ensure timely issue resolution
  • Track stock inventory with regular updates, including during new joiner onboarding and employee exits
  • Oversee upkeep and tracking of student books and materials

Skills & Requirements

  • Good communication and interpersonal skills
  • Basic knowledge of MS Office (Excel, Word)
  • Professional, presentable, and responsible attitude
  • Ability to handle pressure and multitask

Qualification & Experience

  • Graduate in any discipline
  • 1–2 years of relevant experience in front office / administration / coordination roles
